Your Marketing Ideas For Printers website includes tools for sending proofs and recording customer responses. You can upload a proof for an online order or send a stand-alone proof for a project that began outside the website.

The customer receives an email with a link to view the proof and can approve it or request changes through your website.

Benefits of online proofing

Sending proofs through your website:

  • Avoids email attachment-size limits
  • Keeps large files out of the client’s email storage
  • Brings the client back to your website
  • Records the proof, recipients, and responses with the job
  • Helps prevent misunderstandings by preserving the client’s response

 

Send a stand-alone proof

Use a stand-alone proof when the project was started outside the website, such as an order placed directly with your printshop.

1. Select Workflow from the Control Center’s top menu.

2. Select Send a Proof from the sidebar.

3. Click Upload a Proof File.

4. Click Browse and select the proof file you want to upload.

5. In the ‘Proof Name' field, you can enter a name for the proof if desired.

6. Enter the recipient’s name, company, branch, or email address in the ‘Send This Proof To’ field. Press Tab to search for matching accounts.

  • Matching contacts appear in a list for you to select.
  • If no matching contact is found, you can create a new contact using the form provided.
  • You can add more than one recipient.

7. Review the ‘Email Subject’. The default subject is Your Proof Is Ready to View!, but you can change it if needed.

8. Click Send Proof.

Each recipient receives an email with a link to download the proof and respond with an approval or request for changes.

 

Send a proof for an existing order

1. Select ‘Workflow’ from within the Control Center.

2. Use the Workflow tools to locate the order.

3. Select the order number to open its details.

4. Find the appropriate job within the order and select its Send a Proof tab.

5. Click Upload a Proof File.

6. Click Browse… and select the proof file you want to upload.

7. Review the recipients under Send This Proof To.

The contact who placed the order is added automatically. To remove that person, click the red X beside their name.

 

  • To add another recipient, enter their name, company, branch, or email address and press Tab.
  • Matching contacts appear in a list for you to select.
  • If no matching contact is found, you can create a new contact using the form provided.
  • You can send the proof to more than one recipient.

8. Review the email subject. The default subject is Your Proof Is Ready to View!, but you can change it if needed.

9. Click Send Proof.

How clients respond to proofs

The proof email directs the client to a page where they can download the file and either approve the proof or request changes.

 

When a client responds:

  • The customer representative assigned to the account receives an email notification.

  • The response is recorded in the job’s Job Journal.

  • The proof status is updated in the job’s Send a Proof tab.

This creates a record of the client’s decision that you and your team can review from Workflow.
