Depending on how you handle emails can impact your decision as to whether to go with IMAP or POP3 for your incoming mail protocol. The below discusses why you may choose one protocol over the other.

IMAP (Best for those who check email across multiple devices)

Advantage - As a copy of all emails are stored on the Email Server, you can access your mailbox from multiple devices and always know you are seeing the same set of emails as what you will see on another device (or in webmail).

Disadvantage - As a copy of all emails are store on the Email Server, not managing your mailbox could cause your mailbox to reach capacity down the road. So setting up an archive folder in your mail client, or routinely removing emails from your mailbox (especially those with large attachments) will help prevent your mailbox from reaching its capacity. Here is a walkthrough for setting up Outlook Archive Folders manually. You can also increase the default size of 1 GB to 25 GB or 30 GB by increasing your storage limit.

POP3 (Best for those who check email only on 1 device)

Advantage - Once an email is copied down to a device, the email can automatically be deleted from the server. This helps to automatically keep your inbox from reaching capacity.

Disadvantage - If you use multiple devices to access your email (ie - desktop PC, Phone, Webmail, etc), its likely that you won't see the same set of emails as you go from device to device. This is because once the email is copied to a device, it is deleted from the server. Therefore, when you open your email on another device, the email is no longer on the Email Server to synchronize down to your 2nd device.

When considering which incoming mail protocol to use, you will need to weigh your options for what is most important to you as an individual managing your mailbox or as a company. Either incoming mail protocol will work with the mailboxes we host for you!
