How Clients Request an Estimate How to Send an Estimate What Happens Next

Printbuyers can request an estimate through your website before placing an order. You can review the request, send pricing, and manage their response in the Control Center.

This allows new customers who may not yet be ready to commit to an order to still use the order form to give you the information needed to provide them a complete estimate. Meanwhile, your returning customers can use the same form to complete their order and bypass the estimate process if they wish. All order forms also have a link to an all-purpose estimate request form that allows your customers to send an estimate request even if they couldn't locate the "correct" order form for their project.

 

How Clients Request an Estimate

Order forms without active pricing include a ‘Request an Estimate’ button. Printbuyers can use the form to provide project details without placing an order.

Your website also includes a general estimate request form for projects that do not match an existing order form.

After submitting an estimate request, the printbuyer receives a confirmation email letting them know you will follow up with a quote.

How to Send an Estimate

When a printbuyer requests an estimate, their assigned customer representative receives an email with a link to the request.

You can also find estimate requests in Workflow, filter them by status, and identify them by the $ icon. Click the order number to open the ‘Estimate Request Summary’.

Within the ‘Estimate Request Summary’:

  • Enter the total price for each quantity you want to offer. You can provide up to three quantity options for the printbuyer to choose from.
  • If you have a detailed estimate PDF, you may upload using the ‘Upload an Estimate File’ button.
  • Click Send Estimate to Customer.

 

  • The printbuyer receives an ‘Estimate ready for your approval’ email with a link to view the estimate online.

  • They can also download attached files, accept or decline the estimate, or ask a question.

 

What Happens Next

The printbuyer asks a question. Their message is added to the ‘Job Journal’, and the assigned customer representative receives an email notification. The customer rep can follow the link in the email to review and answer the question.

The printbuyer accepts the estimate. Selecting Accept Estimate adds the selected option to their shopping cart. The printbuyer must then submit the order from the cart. The assigned customer representative receives an email notification once the order is submitted.

The printbuyer declines the estimate. Selecting No Thanks closes the estimate as an order option, but it remains available in Workflow > Estimates > Rejected for reference. The printbuyer is prompted to explain why they declined.

You respond on the printbuyer's behalf. You can then accept or decline the estimate on their behalf. Click the eyeglasses icon within the ‘Estimate Request Summary’ to view the estimate as the printbuyer.
