Many activities on your website generate email notifications. The notification settings determine who receives each type of message.

You can establish site-wide default recipients or customize the settings for a specific company, branch, or contact.

 

Understand the Notification Settings

Customer Rep

Customer Rep is an assignment rather than a notification list. You can assign one employee as the Customer Rep for:

  • Your entire website
  • A company
  • A branch
  • An individual contact

Only employees designated as a Customer Rep in their employee settings can be selected.

Most website notifications sent to a print buyer also appear to come from their assigned Customer Rep.

 

Notifications: Website

Recipients on the Notifications: Website list receive the same website notifications as the assigned Customer Rep.

Because this list receives all applicable website notifications, its recipients do not also need to be added to the File Sent, Estimate Requests, or Low Inventory lists unless there is a specific reason to include them separately.

 

Notifications: File Sent

Recipients on the Notifications: File Sent list are notified when a print buyer uses the Send a File tool from the Your Account page and chooses not to:

  • Create a new order for the file
  • Attach the file to an existing order

 

Notifications: Estimate Requests

Recipients on the Notifications: Estimate Requests list are notified when a print buyer requests an estimate instead of submitting an order.

 

Notifications: Low Inventory

Items in the Reorder Forms Library can track inventory levels and generate notifications when inventory reaches a level you specify.

The assigned Customer Rep automatically receives low-inventory notifications. Use the Notifications: Low Inventory list to add other people who should also receive them.

 

Update a Customer Rep or Notification List

1. Select Accounts from the Control Center menu.

2. Select Account Settings from the sidebar.

 

3. Select the setting you want to update:

  • Customer Rep
  • Notifications: Website
  • Notifications: File Sent
  • Notifications: Estimate Requests
  • Notifications: Low Inventory

 

4. By default, you will be editing the site-wide settings. To customize the setting for a particular company, branch, or contact, use the search tool in the sidebar.

 

5. Enter part of the company, branch, or contact name to filter the available accounts, and then select the correct result.

The search includes partial matches. For example, searching for Smith may return Smith, Smithsonian, or Blacksmith.

6. Confirm the account level shown at the top of the page. This area identifies whether you are editing the site-wide default or a particular company, branch, or contact.

7. Update the selected setting:

  • For Customer Rep, select one eligible employee to serve as the assigned representative and select ‘save changes’.

 

  • For a notification list, locate the employee or customer contact who should receive the notifications and select Add to List.

 

Manage Existing Recipients

With the exception of Customer Rep, each notification list can include multiple employees or client contacts.

To remove someone from a notification list, select Remove next to their name.
