CREATE Global Questions:

Global Questions are used to define Order Form "Questions & Answers" that are frequently used in multiple Order Forms. By using Global Questions, you can make a single change that immediately updates every Order Form using that particular Global Question. It also means not having to manually re-create the same question on each of your Order Forms.

Global Questions can be created and edited under the "Order Forms" tab in your website's Control Center:

From there, click on "Order Form Settings" on the left. This will automatically open your "Global Questions" view:

If you want to create a new Global Question, click the green "Add a New Global Question" above the list of questions:

Then, similar to creating a new question (see: Questions & Answers KB video) on an Order Form, click the pull-down menu for "Select a Question Type" and select the type of question you would like:

Next, enter your Question Name and the pertinent information you would like displayed as answers to the question. When finished, click the green "Create Question" button at the bottom:

NOTE: This Global Question acts in a similar way as a question created on a single Order Form, except that you have the ability to add this same question to any Order Form without having to re-create it each time!

To add this new Global Question to an Order Form, first navigate to the "Order Forms" section of your website's Control Center and then either select Public Order Forms or Reorder Forms Library on the left-column.

Find the Order Form you want to add the new Global Question to and click the blue "edit" button:

Then in the Order/Reorder Form Editor view, click on "Questions & Answers" on the left, followed by the blue "Add a Question" at the bottom:

On the Question Editor screen, click the pull-down for the Question Type and then select "Use a Global Question or Element":

A second pull-down menu will appear with the list of all Global Questions you can choose from. Select the new Global Question you created next to "Select a Global Question/Element":

Then click the green "Use This Global Question" button:


You will see the Location question appear in the list of Questions & Answers. From here you can drag it up higher in the list of questions so that it will appear in between other questions, rather than at the bottom of the Order Form:

You will also notice that the globe for the Location Global Question is a darker gray than the other globes. This signifies that the question is a Global Question rather than a question created only on this Order Form:

Click the orange "View" button at the top-right of the window to see the form with the newly added Global Question:

The Global Question looks like any other question on the Order Form:

The exception is you are able to edit this Global Question once, and every Order Form it has been added to will immediately receive the changes you made.

EDIT a Global Question:

Similar to how you create a Global Question, navigate in your website's Control Center to Order Forms at the top and then select "Order Form Settings" on the left:

In the list of Global Questions that come up by default when clicking on Order Form Settings, find the question you want to edit.

Click the "edit" button next to the Global Question you want to edit:

This opens the Question Editor box. From here you have the ability to add/edit/remove questions from the Global Question.

Keep in mind the below message when deleting an Answer from a Global Question:

Click the green "Save Question" button when you are done making changes. As soon as these changes are saved, each Order Form using this Global Question will have the updates applied.

You can also have multiple Global Questions that are labeled the same. Keep this in mind if you want to use a Global Question for different customers that would likely have different answers.

NOTE: If you try to edit a Global Question from within the Order Form it is added to (ie - In your website's Control Center->Order Forms button at the top->Public Order Forms->Order Forms on the left (or Reorder Forms Library on the left)->"edit" button for the Order Form->Questions & Answers on the left->click the pencil icon to 'edit' the Global Question):

You will notice you have very limited editing choices. Typically, the only editing option you have is to turn ON/OFF specific answers you don't want displayed on that particular Order Form. Click the "Customize Answers" button:

This will allow you to turn ON/OFF the answers to the Global Question for only this Order Form you are editing:

When you make changes to the answers provided, you will be challenged with the below box:


Keep this in mind when turning off answers to Global Questions.

NOTE: The answers you turn off will still remain as answers under the Global Question for other Order Forms to use. But on this particular Order Form, the answers you turn off will NOT display as possible answers to choose from as shown below:

PRICING a Global Question:

You also have the ability to price the Global Question from the Global Questions view of your website's Control Center.

In your website's Control Center, click on Order Forms at the top->Order Form Settings on the left. From the main Global Questions view, click the $ symbol to the left of the Global Question Name:

This pulls up a pricing table, similar to the Pricing->Advanced Pricing: Tables option of an individual Order/Reorder Form.

In the Global Question pricing table, you can:

  • download a template to fill out for pricing and then upload the completed CSV file, or
  • enter the pricing values manually

Once you have the pricing set, then make sure to toggle the "status" to "on":

NOTE: The system auto-saves the pricing and what you toggle the status to, so no need to click a 'save' button to save changes in the pricing of the Global Question.

Once the pricing is saved and Active, then every Order/Reorder Form that uses this Global Question will have the price of the answers added to the total cost of the Order when the customer looks at the "Online Price" hover box at the bottom of any Order Form.

DELETING a Global Question:

If you want to delete a Global Question, there are two ways to look at this:

  • You want to remove the Global Question from the Order Form, but not actually 'delete' the Global Question from other Order Forms.
  • You want to completely remove a Global Question from your website.
    1. Note that this requires you to complete "Bullet 1" first. We will get into this below.

For "Bullet 1" above, you can 'edit' the Order Form (Order Forms button at the top of your website's Control Center->Public Order Forms/Re-order Forms Library->'edit' the Order Form->Questions & Answers on the left-column->click the pencil icon for the Global Question to 'edit' it), and use the 'trash can' icon to remove the Global Question from the Order Form:

NOTE: This does not delete the Global Question; it only removes the Global Question from the Order Form you are currently editing.

IMPORTANT: If you want to completely remove a Global Question from your website, you must first complete Bullet 1 above from *every* Order Form this Global Question is used on. Otherwise, the 'trash can' icon won't appear when you are in the Control Center->Order Forms at the top->Order Form Settings on the left->Global Questions view as shown in the image below:

If you don't know what all Order Forms use this Global Question, reach out to Customer Care at MI4P and we can create a report of what Order Forms the Global Question is used on.

Once you have removed the Global Question from all Order Forms it was being used on, then you can go to the Global Questions view (ie - Order Forms button at the top of your website's Control Center->Order Form Settings on the left->Global Questions) and delete the Global Question by clicking the 'trash can' icon:

NOTE: The default Global Questions that come pre-loaded with your website cannot be deleted; they are 'built-in' to the website. However, you can:

  • Change the Name of the default Global Questions
  • Change the Type of question it is (ie - Radio, Pulldown, etc)
  • Change the answers for the question

But the question will always be there in some form.
