Your Marketing Ideas For Printers website makes proofing easy. With our tools, you are able to provide a proof file to your customer, and they are able to approve it or request changes, all through the website!
The proofing process
Your website provides tools to allow you to upload a file to a customer's order in the system, or even to make a proof available online for a customer whose order was started off-line. The customer receives a link to that proof, which they can follow to download the proof file, as well as respond to it with an approval or a request for changes.
Sending proofs in this way accomplishes several things:
- It bypasses email size restrictions that might otherwise get in the way of providing large files for your customers.
- It makes your customer's lives easier by not clogging up any email storage quotas they might have.
- It draws them back to your website, enticing them to place another order while they're there.
- It keeps a permanent record on file of their response, preventing any miscommunications down the line.
How to send a stand-alone proof
(Most commonly used to send a proof associated with an order placed at your brick-and-mortar printshop instead of online)
- Click Workflow on the top menu bar.
- Choose "Send a Proof" from the sidebar.
- Click the blue "Upload a Proof File" button.
- Click the "Choose File" button to locate the file you wish to upload.
- Type the name, company, branch or email address in the "Send this proof to:" section and hit "Tab" to locate the customer account you wish to send the proof to.
- If there are any contacts that match your search, they will appear in a click-able list.
- If no contacts match your search, you will be presented with a quick form to create a new contact.
- More than one recipient can be added to the list.
- By default, the subject line of the email the client receives is "Your Proof is Ready to View!". Feel free to change that text if needed.
- When finished, click "Send Proof".
- The customer will receive an email with a link to their downloadable proof file, as well as the tools to approve or reject the proof.
How to send a proof associated with an order in the system
- Use the Workflow tools to locate your order.
- Click its order number to view the order details.
- Locate the job in the order that you are sending a proof for, and click the "Send a Proof" tab.
- Click the blue "Upload a Proof File" button.
- Click the "Choose File" button to locate the file you wish to upload.
- Type the name, company, branch or email address in the "Send This Proof To:" section and hit "Tab" to locate the customer account you wish to send the proof to.
- By default, the customer that placed the order is automatically added to the recipient list. Click the red x at the right to remove them if desired.
- If there are any contacts that match your search, they will appear in a click-able list.

How Customers Approve or Reject Proofs
When you send a proof, the customer is emailed a link to their downloadable proof file, as well as the tools to approve or reject the proof.
When the customer chooses a proof response:
- The customer rep assigned to the customer receives an email notification with the customer's response.
- An entry is placed in the Job Journal that the proof response has been received.
- The status of the proof in the job's "Send a Proof" tab is set to reflect the customer's response.
